1. Introduction
Day’s Fleet is a UK based vehicle leasing company with approximately 9,000 vehicles on a contract hire agreement with public and private sector organisations.
At Day’s Fleet we are committed to conducting business with integrity, transparency, and respect for the law and human rights. This Supplier Code of Conduct outlines the minimum standards and expectations we require from our suppliers, contractors, and business partners (“Suppliers”).
All suppliers must comply with this Code and all applicable laws and regulations in the jurisdictions in which they operate, including those in the United Kingdom. This includes all persons employed by our suppliers be they permanently, temporary, working under contract or instructions from the supplier, full or part-time.
2. Legal and Regulatory Compliance
Suppliers must:
- Comply with all applicable local, national, and international laws and regulations
- Abide by the UK Bribery Act 2010 and any anti-bribery and anti-corruption laws in their operational jurisdictions
- Ensure full compliance with all relevant vehicle safety, emissions, and environmental standards
3. Ethical Business Conduct
Suppliers are expected to:
- Conduct business ethically and transparently
- Prohibit all forms of bribery, corruption, fraud, extortion, and embezzlement
- Maintain accurate and honest records and reporting
- Avoid conflicts of interest or the appearance thereof
4. Human Rights and Labour Standards
Suppliers must:
- Comply with the UK Modern Slavery Act 2015
- Prohibit forced labour, human trafficking, and child labour
- Ensure fair wages, working hours, and benefits in compliance with applicable laws
- Uphold the rights to freedom of association and collective bargaining
5. Health and Safety
Suppliers shall:
- Provide a safe and healthy working environment for all employees
- Comply with applicable health and safety laws and regulations
- Take proactive measures to reduce workplace hazards and promote well-being
6. Environmental Responsibility
Suppliers are expected to:
- Comply with all applicable environmental laws and regulations
- Minimise environmental impacts through sustainable practices, such as reducing emissions, conserving energy, and managing waste responsibly
- Disclose environmental risks and performance where required
- Work toward net-zero goals and decarbonisation in line with UK government initiatives and ESG standards
7. Vehicle and Service Standards
Suppliers providing vehicles or vehicle-related services must:
- Ensure all vehicles and associated products meet UK roadworthiness and environmental standards
- Provide full and accurate vehicle documentation
- Ensure that services provided (e.g. maintenance, repairs) meet industry standards and are performed by qualified professionals
8. Data Privacy and Confidentiality
Suppliers must:
- Protect confidential information related to Day’s Fleet, its clients, and operations
- Comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018
- Ensure secure handling, storage, and disposal of personal and sensitive data
9. Diversity, Equity & Inclusion
We expect our suppliers to:
- Promote a diverse and inclusive workforce
- Prevent discrimination based on race, gender, age, disability, religion, sexual orientation, or any protected characteristic
- Foster a respectful and harassment-free work environment
10. Monitoring, Audits, and Compliance
Day’s Fleet reserves the right to:
- Audit supplier practices and facilities (with reasonable notice)
- Require corrective actions if non-compliance is identified
- Terminate the relationship in cases of serious or repeated breaches
Suppliers are encouraged to:
- Maintain records that demonstrate compliance with this Code
- Report concerns or violations via appropriate channels, anonymously if desired
